Decode Live is optimized for use on laptops or desktops. Currently, we do not support mobile or tablet devices. While Decode Live works on all browser types, Chrome is the preferred browser.

  • Contact Information: You might provide us with your contact information (such as email address, phone number, and country of residence) through the use of our service, a form on our website, an interaction with our sales or customer support team, or in response to an Entropik study.
  • Usage Information: We collect usage information about you, including the webpages you visit, what you click on, and the actions you perform, using tools such as Google Analytics or other similar tools whenever you interact with our website and/or service.
  • Device and Browser Data: We collect information from the device and application you use to access our services. Device data primarily includes your IP address, operating system version, device type, system and performance information, and browser type.
  • Log Data: Like most websites, our web servers store log files that record data each time a device accesses those servers.   • Billing Information: If you make a payment to Entropik, we require you to provide your billing details, such as your name, residential address, email address, and financial information corresponding to your selected method of payment (e.g., credit card number and expiration date, or bank account number and required information to process billing).

Information Collected During the Use of Our Services

If you participate in an EEG and/or eye tracking and/or facial coding and/or survey study conducted by Entropik, you may be required to provide access to the webcam and consent to your face video being recorded. Explicit consent must be provided to enable the webcam to collect video(s) of your face. Consent may be retracted at any time during the session by canceling the session. Face videos are analyzed by our computers to calculate eye-gaze tracks (a series of x, y coordinates) and facial coding algorithms to determine emotion. The videos are not associated with you except via the information you enter to participate in the study (such as answers to survey questions).

How Long Your Information Is Stored

We store your Personally Identifiable Information for as long as it is required for our research and business purposes and as required by law, or until we receive a request from you to delete it. When we no longer require such Personally Identifiable Information, we will delete it from our systems.

Facial videos are permanently deleted within 30 days once you provide us with a written request to delete the video(s) post-survey. Facial images will not be associated with any Personally Identifiable Information and will be stored only for improving the accuracy of Decode, Qatalyst or Entropik’s models.

EU GDPR – Rights Identification Key

Even though Entropik is processing data at the request of the data controller (being the Entropik Registered User), we want to ensure that you can exercise your rights under the European Union General Data Protection Regulation (“EU GDPR”).

At the start and end of a session, we provide you with a key tied to your face video or brainwave data (even after deletion). If you contact us and provide this key, we may provide you with the status of face video data collected. Entropik has also provided Entropik Registered Users with a range of tools to help them manage their rights when they participate in our sessions.

Use of Cookies

We may use first-party cookies (small text files that our website(s) store locally on your computer) on our websites for one or more of the following purposes: to help identify unique and returning visitors and/or devices; conduct A/B testing; or diagnose problems with our servers. Browsers do not share first-party cookies across domains. Entropik does not use methods such as browser cache, Flash cookies, or ETags for acquiring or storing information about end users’ web browsing activity. You can set your browser preferences to refuse all cookies should you wish to prevent cookies from being used.

Disclosure of Information to Third Parties

We do not share your Personally Identifiable Information with third parties except as follows:

  1. Service Providers

Information, including Entropik’s user information and any Personally Identifiable Information contained therein, may be shared with certain third-party companies and individuals that help facilitate technical and administrative aspects of Entropik’s services (e.g., email communications) or perform functions related to the administration of Entropik (e.g., hosting services). These third parties perform tasks on our behalf and are contractually obligated not to disclose or use Entropik’s user information for any other purpose, and to employ adequate security measures to prevent unauthorized access to such data. We use the lead generation service provided by Leadfeeder, which recognizes visits of companies to our website based on IP addresses and shows us related publicly available information, such as the company’s names or addresses. Additionally, Leadfeeder places first-party cookies to provide transparency on how our visitors use our website and the tool processes domains from provided form inputs (e.g., “leadfeeder.com”) to correlate IP addresses with companies and enhance its services. When media is added to Decode through integrations, the following fields need to be updated for the media:

  • The number of people in the media.
  • The language used in the meeting.

Until these details are updated for external media, a caution symbol will appear on the media card, and the media will not be processed for transcriptions and insights.

To update the details, follow these steps:

Step 1: Click on the three dots in the media card; an options list will open.

Step 2: Click on the "Edit" button.

Step 3: Update the details for the number of people in the meeting and the language spoken.

Step 4: Click the "Save" button. After updating these details, the caution symbol will be removed from the media, and the processing of the media will be initiated.

If the study is in the draft stage, you can edit, delete, or update it before publishing. Here are the steps for deleting a question block in the quantitative study:

Step 1: Open the study for which you want to delete question blocks. To access the study, you can navigate to the library of Decode or delete the block while creating the study.

Step 2: Once you open the study, you will land on its creation page. Here, you will find all the question blocks added to the study on the left navigation panel.

Step 3: You can delete the block by either expanding the arrow at the bottom and selecting "Delete," or by accessing the three dots within the block itself to delete it.

Step 4: Hover over the question block; you will find a "Delete" button on the question block. Click on the icon, and the block will be deleted.

Note: The welcome page and thank-you page cannot be deleted from any quantitative study since they are mandatory.

In Decode, you can create meetings using different templates. Each template restricts the number of participants in the meeting. Here are the template-wise details about the number of participants allowed:

  • One-on-One Meeting: You can use the one-on-one meeting template and invite one attendee.some text

  • Dyad Meeting: If you are having a discussion with two people, use the dyad meeting template.some text

  • Focus Group: Used when you want to conduct meetings with more than three people. You can invite up to 6 attendees. This meeting template is enabled with whiteboard sharing, where participants can collaborate by creating drawings and charts.some text

The team is aware of the following issues and is working on resolving them:

  • When a highlight is created by overlapping an existing highlight, the highlight color on the older highlight gets removed.
  • Meeting recordings sync: Duplicate recordings are added when the meeting is edited on the MS/Teams side.
  • When uploading multiple media files, if there are errors with some of the media and just one error is fixed, others also get accepted and allowed to upload.
  • When uploading multiple media files, if the user has selected some media from the file explorer and then tries to add more media from the explorer, the new media does not get added.
  • Notifications may not work as expected.
  • A confirmation pop-up sometimes appears (inconsistently) when moving from one block to another in the qualitative study, even after it is saved.
  • In qualitative study creation, if the user removes a mandatory field after saving, the "Publish" button still remains enabled.
  • Once insights are published, they cannot be unpublished.
  • Once insights are published, they remain accessible after they are deleted, if the user has the shared URL.
  • Recurring meetings for Webex do not sync. Only one occurrence is displayed in the meetings list.
  • FTP integrations: Videos imported from FTP are getting duplicated every time the user clicks the sync button.
  • Zoom integrations are not working currently.
  • Microsoft SSO: Multi-tenancy (live.com, outlook.com, etc.) is not currently supported.
  • Insights have a scrolling issue that prevents users from being able to see the last section.
  • Users are unable to join the meeting if they try to log in using SSO on the meeting page.

  • Account Information: When you register on our online platform, you become a registered user (“Entropik Registered User”). During registration, we collect your first and last name (collectively called full name), username, password, and email address.
  • Billing Information: If you make a payment to Entropik, we require you to provide your billing details, such as your name, residential address, email address, and financial information corresponding to your selected method of payment (e.g., credit card number and expiration date, or bank account number and required information to process billing).

Information Collected During the Use of Our Services

If you participate in an EEG and/or eye tracking and/or facial coding and/or survey study conducted by Entropik, you may be required to provide access to the webcam and consent to your face video being recorded. Explicit consent must be provided to enable the webcam to collect video(s) of your face. Consent may be retracted at any time during the session by canceling the session. Face videos are analyzed by our computers to calculate eye-gaze tracks (a series of x, y coordinates) and facial coding algorithms to determine emotion. The videos are not associated with you except via the information you enter to participate in the study (such as answers to survey questions).

How Long Your Information Is Stored

We store your Personally Identifiable Information for as long as it is required for our research and business purposes and as required by law, or until we receive a request from you to delete it. When we no longer require such Personally Identifiable Information, we will delete it from our systems.

Facial videos are permanently deleted within 30 days once you provide us with a written request to delete the video(s) post-survey. Facial images will not be associated with any Personally Identifiable Information and will be stored only for improving the accuracy of Decode, Qatalyst or Entropik’s models.

EU GDPR – Rights Identification Key

Even though Entropik is processing data at the request of the data controller (being the Entropik Registered User), we want to ensure that you can exercise your rights under the European Union General Data Protection Regulation (“EU GDPR”).

At the start and end of a session, we provide you with a key tied to your face video or brainwave data (even after deletion). If you contact us and provide this key, we may provide you with the status of face video data collected. Entropik has also provided Entropik Registered Users with a range of tools to help them manage their rights when they participate in our sessions.

Use of Cookies

We may use first-party cookies (small text files that our website(s) store locally on your computer) on our websites for one or more of the following purposes: to help identify unique and returning visitors and/or devices; conduct A/B testing; or diagnose problems with our servers. Browsers do not share first-party cookies across domains. Entropik does not use methods such as browser cache, Flash cookies, or ETags for acquiring or storing information about end users’ web browsing activity. You can set your browser preferences to refuse all cookies should you wish to prevent cookies from being used.

Disclosure of Information to Third Parties

We do not share your Personally Identifiable Information with third parties except as follows:

Information, including Entropik’s user information and any Personally Identifiable Information contained therein, may be shared with certain third-party companies and individuals that help facilitate technical and administrative aspects of Entropik’s services (e.g., email communications) or perform functions related to the administration of Entropik (e.g., hosting services). These third parties perform tasks on our behalf and are contractually obligated not to disclose or use Entropik’s user information for any other purpose, and to employ adequate security measures to prevent unauthorized access to such data. However, Entropik shall not be responsible in the event that Personally Identifiable Information is disclosed as a result of a breach or security lapse by any such third party.

We use the lead generation service provided by Leadfeeder, which recognizes visits of companies to our website based on IP addresses and shows us related publicly available information, such as the company’s names or addresses. Additionally, Leadfeeder places first-party cookies to provide transparency on how our visitors use our website and the tool processes domains from provided form inputs (e.g., “leadfeeder.com”) to correlate IP addresses with companies and enhance its services. What is a collection in Decode?

When media is added to Decode through integrations, the following fields need to be updated for the media:

  • The number of people in the media.
  • The language used in the meeting.

Until these details are updated for external media, a caution symbol will appear on the media card, and the media will not be processed for transcriptions and insights.

To update the details, follow these steps:

Step 1: Click on the three dots in the media card; an options list will open.

Step 2: Click on the "Edit" button.

Step 3: Update the details for the number of people in the meeting and the language spoken.

Step 4: Click the "Save" button. After updating these details, the caution symbol will be removed from the media, and the processing of the media will be initiated.

How to delete a question block in a quantitative study?

If the study is in the draft stage, you can edit, delete, or update it before publishing. Here are the steps for deleting a question block in the quantitative study:

Step 1: Open the study for which you want to delete question blocks. To access the study, you can navigate to the library of Decode or delete the block while creating the study.

Step 2: Once you open the study, you will land on its creation page. Here, you will find all the question blocks added to the study on the left navigation panel.

Step 3: You can delete the block by either expanding the arrow at the bottom and selecting "Delete," or by accessing the three dots within the block itself to delete it.

Step 4: Hover over the question block; you will find a "Delete" button on the question block. Click on the icon, and the block will be deleted.

Note: The welcome page and thank-you page cannot be deleted from any quantitative study since they are mandatory.

How many participants I can add in a meeting?

In Decode, you can create meetings using different templates. Each template restricts the number of participants in the meeting. Here are the template-wise details about the number of participants allowed:

  • One-on-One Meeting: You can use the one-on-one meeting template and invite one attendee.some text

    • Observer: 5
  • Dyad Meeting: If you are having a discussion with two people, use the dyad meeting template.some text

  • Focus Group: Used when you want to conduct meetings with more than three people. You can invite up to 6 attendees. This meeting template is enabled with whiteboard sharing, where participants can collaborate by creating drawings and charts.some text

Decode - Known Issues

The team is aware of the following issues and is working on resolving them:

  • When a highlight is created by overlapping an existing highlight, the highlight color on the older highlight gets removed.
  • Meeting recordings sync: Duplicate recordings are added when the meeting is edited on the MS/Teams side.
  • When uploading multiple media files, if there are errors with some of the media and just one error is fixed, others also get accepted and allowed to upload.
  • When uploading multiple media files, if the user has selected some media from the file explorer and then tries to add more media from the explorer, the new media does not get added.
  • Notifications may not work as expected.
  • A confirmation pop-up sometimes appears (inconsistently) when moving from one block to another in the qualitative study, even after it is saved.
  • In qualitative study creation, if the user removes a mandatory field after saving, the "Publish" button still remains enabled.
  • Once insights are published, they cannot be unpublished.
  • Once insights are published, they remain accessible after they are deleted, if the user has the shared URL.
  • Recurring meetings for Webex do not sync. Only one occurrence is displayed in the meetings list.
  • FTP integrations: Videos imported from FTP are getting duplicated every time the user clicks the sync button.
  • Zoom integrations are not working currently.
  • Microsoft SSO: Multi-tenancy (live.com, outlook.com, etc.) is not currently supported.
  • Insights have a scrolling issue that prevents users from being able to see the last section.
  • Users are unable to join the meeting if they try to log in using SSO on the meeting page.
